How to Fix Duplicate Transactions in QuickBooks Online

Next, scrutinize your bank feed transactions. When reviewing recently imported items, look for transactions sitting in your "For Review" tab that you know were already recorded. Often, QuickBooks will fail to match a manual entry to a bank feed item if the date or amount is slightly off.

If the issue feels more widespread, running a Transaction Detail by Account report is your best diagnostic tool. Customize this report by narrowing the date range and sorting by amount, vendor, or customer. When transactions are grouped by amount, duplicates become immediately obvious.

Before you start deleting, take a moment to determine which version of the transaction you should keep. You want to preserve the record that carries the most history. Check if one of the entries is already reconciled, linked to a specific bill or invoice, or contains important attachments and notes. Always keep the more complete version.

Once you know which entry needs to go, the removal process depends on how it was created. For manually entered duplicates, open the transaction, click the "More" button at the bottom of the screen, and select "Delete." If the duplicate is sitting in your bank feeds and has not been added to your register yet, simply check the box next to it and choose "Exclude."

After your cleanup is complete, run a fresh Profit and Loss statement and Balance Sheet. Verify that your account balances now match your actual bank statements.
